Privacy Policy

The Mauritanian-Canadian Chamber of Commerce and Industry (CMCCI) is committed to protecting the personal information entrusted to it. This policy describes the information collected by the cmcci.ca website and how it is used. It is established in accordance with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.

Officer responsible for the protection of personal information

Any question about this policy, and any request to exercise your rights, may be sent to the Chamber's officer responsible for the protection of personal information, whose contact details appear at the foot of every page of the site.

Information collected by the site

The site has no audience measurement tools, no advertising trackers and no external resources: fonts, images and stylesheets are served from our own servers, and no request is made to a third party during your visit.

Three forms collect information, and only when you choose to fill them in:

• Membership application — membership category, last name, first name, organization, position, email, telephone, country, website, sectors of interest, introduction and motivation, references.
• Sponsorship request — tier considered, last name, first name, organization, position, email, telephone, website, message.
• Forum registration — event concerned, mode of participation, last name, first name, organization, position, email, telephone, country, interest in B2B meetings, sectors, any further details.

Each form carries a consent checkbox, never ticked in advance. The date and time of your consent are kept with your request: this is the proof that the processing was indeed accepted.

No IP address is recorded with your request. Protection against automated submissions works in the server's memory and keeps nothing.

No account is created, and it always remains possible to write directly to the published addresses rather than use a form.

Cookies

The site uses two visitor cookies, both necessary to the service and free of any tracking function:

• cmcci.lang remembers the display language you have chosen. It contains only a language code (fr, en or ar), permits no identification and expires after one year.
• cmcci.csrf is set only when you open a form. It carries a random token guaranteeing that the submitted form does come from this page, and not from a third-party site seeking to act in your name. It contains no information about you and expires after two hours.

Refusing or deleting cmcci.lang in no way prevents you from browsing the site. Deleting cmcci.csrf while you are filling in a form will require you to reload the page before submitting it.

A third cookie, cmcci.sid, is set only on the computers of Executive Board members who log in to the administration area. It expires after eight hours.

Server logs

Like any web server, ours records incoming requests: IP address, timestamp and page requested. These logs serve solely for security and for the proper operation of the service. They are neither cross-referenced with other sources nor disclosed to third parties, and are kept for no more than twelve months.

Information you send us

Whether you use a form or write to one of the published addresses, the information you provide is used solely to process your request: to review an application, prepare a sponsorship package, organize an event, answer a question.

It is consulted by the general secretariat and, for applications, by the Admissions Committee. It is never used for canvassing purposes.

Retention periods

• Accepted membership application — for the duration of the membership, then three years after it ends, for the record-keeping required by the Canada Not-for-profit Corporations Act.
• Refused membership application — twenty-four months from the decision.
• Sponsorship request — thirty-six months from the closing of the file.
• Forum registration — twelve months after the event takes place.
• Request left without follow-up — twelve months.

These periods are enforced every month by an automatic deletion, except for the file of an accepted application: that one follows the member registry, whose period runs from the end of the membership, and its deletion is carried out by the secretariat.

You may at any time request the early deletion of your request, without having to give a reason.

Disclosure to third parties

The Chamber does not sell, rent or trade any personal information. No information is disclosed to sponsors. Disclosure occurs only where required by law or where you expressly consent to it.

Hosting and place of storage

The site and the Chamber's data are hosted in Canada.

The information you send us is kept in a database operated on our behalf by Supabase, in its Canadian region (ca-central-1). Supabase acts solely as a processor: it does not access the data on its own account and has no right to use it for purposes other than those described here. A processing agreement governs this relationship, in accordance with Law 25.

Access to the database is reserved to the Chamber's server. No data is reachable from your browser, and the database's security rules refuse any read that does not come from the server.

Any plan to transfer personal information outside Quebec is subject to a prior privacy impact assessment, in accordance with Law 25.

Your rights

You may at any time request access to the personal information the Chamber holds about you, its correction, its deletion where the law permits, and the withdrawal of your consent. Write to the officer responsible for the protection of personal information: you will receive a reply within thirty days.

You may also file a complaint with the Commission d'accès à l'information du Québec.

Confidentiality incidents

In the event of an incident presenting a risk of serious injury, the Chamber promptly notifies the individuals concerned and the Commission d'accès à l'information, and records the incident in a register, in accordance with Law 25.

Any change to this policy is published on this page. The date of the most recent update appears at the foot of this page.
